About Trax

The purpose of this role is to provide essential administrative and operational support to ensure the smooth day-to-day running of the Boston office. This includes coordinating office-related tasks, assisting with onboarding and compliance activities, maintaining a well-functioning and welcoming workspace, and supporting both local and global teams. The position plays a key role in creating an organized, safe, and efficient office environment. 

 

Area of responsibility 

  • Coordinate Administrative Support for Boston office: General office duties such as managing correspondence, scheduling meetings and office events 
  • Assist in maintaining health and safety standards in all Trax offices: Tracking and organizing occupational health & safety trainings; registering new joiners 
  • Conducting onboarding sessions for new employees located in the Boston Area 
  • Oversee office supplies inventory, place orders, and ensure that office equipment is in good working condition 
  • Manage Boston office space and ensure a clean and organized work environment 
  • Support in scheduling and coordination: Onsite meetings, appointments, and events 
  • Support Staff: Provide office administrative support to management and other staff members 
  • Financial Administration: Assist with basic financial tasks such as processing office invoices 
  • Compliance: Ensure that office operations comply with company’s global policies and legal regulations 
  • Effectively achieve building management for office maintenance and repairs. 
  • Any further responsibilities as assigned by the manager 

 

Requirements 

  • Proven experience in an administrative or office coordination role is an advantage, but not a must 
  • Excellent organizational and multitasking skills 
  • Strong verbal and written communication skills in English 
  • Good knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint) 
  • Ability to work independently and take initiative 
  • Strong attention to detail and a proactive attitude 
  • Flexibility and a hands-on approach to problem solving 
  • Ability to handle confidential information with discretion 
  • Interest in workplace wellbeing, compliance, and office operations 
  • Availability to work 20 hours/week, preferably spread across multiple weekdays 
  • Currently residing in or near Boston
